About the Opportunity
Our client, a leading international law firm, is seeking a Professional Assistant to join their Litigation team in the Boston office. This position provides comprehensive legal administrative support to attorneys and clients while ensuring a high standard of efficiency, accuracy, and professionalism. Required Qualifications
- High school diploma or equivalent required; college degree preferred.
- Minimum three years of legal administrative or secretarial experience; prior law firm experience strongly preferred.
- Proficiency in Microsoft Office, PDF applications, and iManage required; familiarity with accounting software and client billing systems preferred.
- Exceptional attention to detail, organization, and ability to communicate effectively across teams.
- Strong multitasking and time management skills, with the ability to prioritize and meet deadlines under pressure.
- Flexible and dependable, with the ability to work overtime on short notice as needed.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.
Key Responsibilities
- Provide administrative and legal support to multiple attorneys, including managing inboxes, calendars, contacts, and correspondence.
- Maintain compliance with client file management policies for both electronic and hardcopy records using iManage and other software systems.
- Review, proofread, and edit legal documents, letters, and memoranda, ensuring accuracy and consistency with firm standards.
- Coordinate meetings, conference calls, and travel arrangements; manage scheduling logistics and prepare related materials.
- Track and record attorney billable time in iTimekeep; review and ensure accuracy of pre-bills and client matter entries.
- Prepare expense reports, manage invoices, and process payment requests in compliance with firm guidelines.
- Support the use of technology and digital filing systems to enhance efficiency and promote a paperless environment.
- Participate in special projects, office initiatives, and team-building events throughout the year.
- Provide training and guidance to other administrative professionals when needed.
