- Monday: 12:30 pm – 8:30 pm
- Tuesday: 10:00 am – 6:00 pm
- Wednesday: 12:00 pm – 8:30 pm
- Thursday: 10:00 am – 6:00 pm
- Friday: 10:30 am – 6:00 pm

About the Opportunity
Our client is seeking a temporary Administrative Assistant to support front-desk operations, provide excellent customer service, and maintain a welcoming and organized environment.
The Administrative Assistant oversees the building lobby, waiting areas, and reception space while ensuring a high level of confidentiality. This role welcomes visitors, supports program operations, and maintains a professional, inclusive, and safe environment. The position also performs essential clerical, customer service, and front-desk duties.
Required Qualifications & Skills
- High School diploma or HISET equivalent required
- 3+ years of Administrative Assistant or Reception experience in a fast-paced, multi-function environment
- Bilingual ability preferred but not required: English and Haitian Creole, Spanish, Portuguese, or Cape Verdean Creole
- Strong organizational, multitasking, and customer service skills
- Proficiency with Microsoft Office 365, internet tools, Zoom, and phone systems
- Excellent interpersonal and communication skills, with the ability to remain calm and supportive when assisting individuals under stress
- Ability to work collaboratively with staff across multiple programs
- Commitment to working respectfully with individuals from diverse cultural, social, and economic backgrounds
Key Responsibilities
- Greet employees and visitors in a professional and courteous manner
- Monitor activity at the main entrance and maintain an organized front desk
- Oversee building safety procedures, including opening/closing protocols, securing entrances, managing alarms, and notifying leadership of safety concerns
- Check in visitors, issue badges, and ensure no visitor is left unattended
- Provide telephone support, including answering, routing, and taking messages promptly
- Receive, sort, and distribute mail and packages; maintain delivery logs
- Update building directories and phone lists
- Ensure front-desk coverage and secure backup before stepping away
- Report issues related to phones, door locks, elevators, electrical systems, alarms, cameras, maintenance needs, or disruptive activity
- Utilize office technology, including computers, phones, and photocopiers; prolonged periods of sitting or standing may be required
- Maintain professional boundaries and uphold confidentiality standards
- Attend meetings and trainings as needed
- Perform additional duties as assigned
