About the Opportunity

Our client operates within this public transportation industry, supporting a large-scale transit system focused on safety, reliability, accessibility, and equity. The Temporary Administrative Coordinator plays a critical role in keeping operations running efficiently by providing high-level administrative, coordination, and procurement support to the Stations, Facilities, & Structures Division.

Key Qualifications & Skills

  • Associate’s degree from an accredited institution in a related administrative or business field
  • 2+ years of administrative or project coordination experience, supporting a large department or organization
  • Proficiency in Microsoft Word, Excel, databases, CMS, and PeopleSoft
  • Working knowledge of data navigation and reporting systems
  • Strong written communication, organization, and problem-solving skills
  • Ability to work independently while managing multiple priorities
  • Demonstrated customer service and conflict resolution skills
  • Ability to pass background screening, CORI check, and medical requirements, including drug and alcohol testing
  • Valid driver’s license in accordance with policy
  • Ability to work effectively with a diverse workforce

Essential Functions

  • Prepare and maintain status reports, budgets, charts, and dashboards
  • Track meeting notes, action items, and follow-ups
  • Provide data entry and administrative coordination support
  • Analyze, prepare, and maintain reports, records, and documentation
  • Draft and manage activity-related correspondence
  • Coordinate procurement activities, requisitions, and invoice reviews
  • Support document control and document management systems
  • Participate in procurement processes using internal systems
  • Respond professionally to inquiries from customers, vendors, and colleagues
  • Travel to work sites as needed using a company or personal vehicle
  • Perform additional administrative and project coordination duties as assigned
