Salary Range: $70K-$80K | Bonus Eligible
Schedule: Full-time | Monday-Friday, 9-5

Key Qualifications & Skills

  • Bachelor’s degree required
  • 3+ years of experience in financial services; trust or estate administration experience preferred
  • Proven ability to manage projects with multiple stakeholders under firm deadlines
  • Strong organizational skills and the ability to track multiple priorities independently
  • Excellent verbal and written communication skills
  • Professional presence suited for a client-facing environment
  • Strong proficiency in Microsoft Excel and the full Microsoft Office Suite; ability to learn new systems quickly
  • Ability to collaborate effectively with diverse personalities and expectations

Essential Duties & Responsibilities

  • Assist with administering assigned accounts in accordance with governing documents and support Trustees in executing administrative decisions
  • Coordinate client transactions, including bill payment, account maintenance, household staff payments, insurance documentation, gifting programs, and additional activities as directed
  • Respond to internal and external client inquiries with professionalism and accuracy
  • Screen and route incoming calls and messages; manage email and voicemail communications per Trust Advisor guidelines, including monitoring dedicated client email boxes
  • Draft, edit, and prepare letters, memorandums, charts, family trees, and other documents using templates
  • Process incoming and outgoing mail promptly, prioritizing time-sensitive matters
  • Schedule internal and external meetings, including reserving conference rooms and coordinating visitor access
  • Maintain an organized electronic filing system following departmental standards
  • Provide vacation and overflow coverage for Trust Advisors and other Trust Coordinators as needed
  • Support special projects, such as grant program administration, large-scale mailings, and research assignments
  • Perform additional tasks as requested
