About the Role
A respected law firm is seeking an experienced Trust Administrator to support its Trusts and Estates practice. This role is ideal for a detail-oriented professional with a strong background in trust administration, estate planning support, and fiduciary account management.
The Trust Administrator will collaborate with attorneys, trustees, beneficiaries, and financial advisors to oversee the full lifecycle of trust administration, ensuring compliance, accuracy, and exceptional client service.
Key Qualifications
- Bachelor’s degree or equivalent professional experience
- 5+ years of experience in trust administration, ideally within a law firm, bank trust department, or corporate trustee organization
- Knowledge of fiduciary income tax returns for estates and trusts preferred
- Proficiency in Microsoft Word, Excel, Outlook, and trust administration software
- Strong project management and organizational skills, with the ability to manage multiple deadlines
- Excellent written and verbal communication skills
- Demonstrated professionalism, reliability, and high ethical standards in fiduciary matters
- Experience working with high-net-worth clients and professional advisors, including attorneys, accountants, and financial planners
- Ability to work independently while also collaborating effectively with attorneys, paralegals, and administrative staff
Responsibilities
- Manage the administration of trusts, including revocable trusts, irrevocable trusts, GST trusts, charitable trusts, insurance trusts, and special needs trusts
- Prepare formal and informal fiduciary accountings for court filings or beneficiary review
- Process trust account statements, receipts, and financial documentation
- Oversee trust distributions, bill payments, trustee fees, and tax payments, ensuring proper cash management
- Serve as a primary point of contact for clients, trustees, and beneficiaries, responding to inquiries in a timely and professional manner
- Coordinate fiduciary income tax preparation, including gathering documentation and working with external accountants to ensure compliance and timely filings
- Open new trust and fiduciary accounts with custodians, including coordinating with investment advisors, obtaining EINs, and overseeing asset transfers or initial funding
- Manage trust account closures, ensuring distributions are completed, reserves are maintained, and final tax returns are filed
- Draft, review, and interpret estate planning documents, including wills, trusts, trustee appointments, acceptances, and resignations
- Support attorneys and fiduciaries throughout the trust administration process as a knowledgeable resource
- Communicate with beneficiaries regarding trust distributions and participate in annual trust administration meetings
- Record billable time daily, review monthly prebills, and facilitate invoice payment from managed funds when applicable
- Maintain organized electronic and physical legal files, including scanning and document management
- Assist with special projects and administrative initiatives within the Trusts & Estates department
