Join a leading Boston law firm known for its commitment to legal excellence, diversity, equity, and inclusion, seeking a highly organized and proactive Legal Administrative / Executive Assistant to support multiple attorneys in a Private Client, Trusts and Estates, and Estate Planning practice.
Qualifications & Skills
- 8–10 years of administrative, legal assistant, or executive assistant experience required; law firm experience preferred.
- Private Client, Trusts and Estates, or Estate Planning experience preferred.
- BA/BS degree preferred, but not required.
- Advanced proficiency in Microsoft Word, Outlook, PowerPoint, and Excel; experience with Adobe/Kofax PDF tools preferred.
- Exceptional written and verbal communication, organizational skills, and attention to detail.
- Strong client service skills and the ability to build positive relationships with attorneys, clients, and colleagues.
- Highly proactive, resourceful, and dependable, with strong time management and problem-solving abilities.
- Ability to manage multiple priorities, meet deadlines, and remain professional under pressure.
- Demonstrated confidentiality, discretion, and sound judgment when handling sensitive client and firm matters.
- Ability to work independently and collaboratively while anticipating needs and taking initiative.
- Flexibility to adjust work schedules occasionally to accommodate business needs.
Key Job Functions
- Provide high-level administrative and executive support to multiple Private Client attorneys.
- Manage calendars, scheduling, communications, and client relationships.
- Draft, format, proofread, and edit legal documents, presentations, and spreadsheets.
- Assist with timekeeping, billing, expenses, and client invoices.
- Coordinate meetings, events, signings, travel, and other logistics.
- Maintain accurate client and matter files, records, and correspondence.
- Support business development activities and follow-up.
- Coordinate with attorneys, paralegals, clients, vendors, and firm personnel to ensure efficient workflow.
- Anticipate needs, prioritize requests, and provide exceptional client service while maintaining strict confidentiality.
