Location: Boston Metro, MA | Hybrid – 2 remote days/week
Pay Range: $30-$35/hour
Schedule: Full-time | Monday-Friday, 9-6

About the Opportunity
Our client is seeking a Temporary IP Assistant to support its Life Sciences Group. This position provides administrative and legal support to attorneys and legal teams handling U.S. patent prosecution and other intellectual property matters.
Qualifications & Skills
- 2+ years of experience in a law firm, legal environment, Life Sciences industry, or related field
- Experience with intellectual property, patent prosecution, legal docketing, or USPTO filings preferred
- Bachelor’s degree required
- Strong proficiency with Microsoft Office, including Word, Excel, and Outlook
- Excellent written and verbal English communication skills
- Strong organizational and time management skills
- Excellent attention to detail, proofreading, and problem-solving abilities
- Ability to prioritize multiple assignments and meet time-sensitive deadlines
- Ability to work effectively in a fast-paced, deadline-driven environment
- Ability to work independently while contributing effectively to a collaborative team
- Strong interpersonal and communication skills
- Flexibility to adjust priorities and work additional hours when necessary to meet deadlines
Key Job Functions
- Provide administrative and legal support to attorneys and legal teams managing intellectual property matters
- Assist attorneys with various aspects of their legal docket, including monitoring deadlines and taking appropriate action
- Organize and maintain electronic correspondence, docketing information, client instructions, and related documentation
- Prepare and file documents with the U.S. Patent and Trademark Office (USPTO)
- Review incoming correspondence, client instructions, docketed information, and other materials and determine appropriate next steps
- Communicate with clients by telephone and email as needed
- Coordinate with colleagues and internal departments to ensure timely completion of assignments and client requests
- Prepare Information Disclosure Statements (IDS) for filing with the USPTO
- Prepare patent search results and prior art lists for citation
- Compile and maintain prior art tables and electronic prior art databases
- Manage prior art and duty of disclosure requirements for domestic and international patent matters
- Maintain accurate client contact information, reporting instructions, and client-specific requirements
- Maintain relevant client data and biographical information
- Research and retrieve information using legal resources, including the Manual of Patent Examining Procedure (MPEP), Trademark Manual of Examining Procedure (TMEP), and USPTO resources
- Use legal technology and software applications, including Microsoft Outlook, Word, and Excel, as well as practice-specific docketing, billing, document management, and document generation systems
- Serve as a resource to colleagues and provide guidance or mentorship when appropriate
