Our client, a leading firm in the legal services industry, is seeking a highly motivated and experienced Administrator to join its dynamic Trusts and Estates Department. This role supports attorneys with all aspects of estate and trust administration, including direct communication with clients, beneficiaries, personal representatives, and advisors. The ideal candidate will demonstrate exceptional organization, professionalism, and attention to detail while managing complex estate planning matters for high-net-worth individuals and families.

Required Qualifications

  • Bachelor’s degree or equivalent experience in trust and estate administration
  • 5+ years of estate administration experience, including estate tax return preparation
  • Familiarity with trust administration and fiduciary accounting
  • Proficient in Microsoft Word, Excel, and estate tax software (e.g., CCH Axcess, EVP)
  • Strong organizational and project management skills
  • Ability to communicate effectively
  • Ability to work independently and collaboratively in a fast-paced environment
  • Experience working with high-net-worth clients and their advisors
  • Demonstrated professionalism, discretion, and integrity in fiduciary matters

Key Responsibilities

  • Draft and interpret estate planning documents, including wills and trusts
  • Administer complex estates, including high-net-worth estates with varied assets
  • Prepare and file probate documents 
  • Track and ensure timely filing of probate and tax deadlines
  • Manage collection, valuation, and transfer of estate assets
  • Prepare estate tax returns, including Massachusetts and federal filings
  • Facilitate funding of marital, exempt, and nonexempt trusts
  • Maintain detailed records of transactions, accountings, and distributions
  • Oversee bill payments, tax filings, and distributions for estate and trust accounts
  • Work with custodians, CPAs, and other professionals for tax compliance and reporting
  • Obtain Taxpayer Identification Numbers (TINs) and release of estate tax liens
  • Organize and maintain electronic and physical legal files
  • Respond promptly and professionally to client and beneficiary inquiries
  • Record and manage billable time and handle billing processes
  • Attend client meetings with attorneys and assist with ongoing estate administration projects
