Our client is seeking a highly organized, proactive, and detail-oriented Executive Legal Assistant to join their Boston office. This hybrid position (in-office/remote) supports partners, counsels, associates, and staff attorneys by managing a wide range of administrative and legal support tasks to ensure the smooth operation of daily workflows.

Qualifications

  • High school diploma or equivalent required; post-secondary education a plus.
  • 3+ years of administrative experience in a law firm or professional services environment.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and adaptable to new legal software tools.
  • Exceptional attention to detail and the ability to manage multiple tasks and changing priorities.
  • Ability to communicate effectively. 
  • Ability to work independently and collaboratively.
  • Flexibility to adjust hours based on business needs.
  • Demonstrated discretion and ability to maintain confidentiality in all aspects of work.

Key Responsibilities

  • Provide comprehensive administrative support, including answering calls, managing calendars, maintaining records, and preparing attorney expense reports.
  • Manage attorney emails (with permission), organize folders, flag priorities, and ensure email filing complies with records retention policies.
  • Support business development efforts by updating contacts, entering activities, and maintaining mailing lists in CRM tools like InterAction.
  • Prepare, revise, and finalize legal documents, including redlines, PDF conversions, and confidential correspondence.
  • Coordinate with Client Accounting to ensure timely and accurate billing processes.
  • Assist with occasional personal administrative tasks as requested by attorneys.
  • Anticipate needs and proactively identify and resolve potential issues before they escalate.
  • Coordinate with internal departments to delegate and oversee completion of cross-functional tasks.
  • Prepare client engagement letters, new matter memos, and maintain client/matter tracking using tools like Excel.
  • Plan and coordinate complex domestic and international travel, including visa procurement.
  • Submit check requests and manage vendor invoicing.
  • Ensure smooth functioning of all technology and liaise with support teams when needed.
  • Support additional tasks such as printing, scanning, filing, faxing, and hand-delivering packages as necessary.
  • Foster effective communication and working relationships with attorneys and staff.
  • Maintain confidentiality and act with integrity in handling sensitive information.
  • Uphold firm policies and procedures while contributing to a collaborative and respectful work environment.
