Salary Range: $64,000 – $95,000 | Non-exempt | Bonus Eligible 
Schedule: Full-time | Monday-Friday, 9-5

About the Role

Our client, a leader in the legal services industry, is seeking a Legal Administrative Assistant to join its Intellectual Property Litigation team. This role supports attorneys and legal staff in protecting and enforcing intellectual property rights, including trademark, trade dress, and copyright, through both prosecution and litigation.

The ideal candidate will have 3+ years of experience in a Legal Administrative Assistant or related position, preferably in IP law or litigation, and will be highly organized, technically skilled, and adept at building professional relationships.

Required Skills& Qualifications

  • 3+ years of experience in a legal administrative or similar role; IP or litigation experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and PDF editing tools.
  • Experience with legal billing software such as Aderant or Elite preferred.
  • Strong attention to detail, time management, and organizational skills.
    Ability to prioritize multiple tasks in a fast-paced environment.
  • The ability to communicate effectively and interact at all organizational levels.
    High level of discretion, confidentiality, and independent problem-solving skills.
  • Flexibility to work outside of standard hours if needed.
  • Ability to lift and carry up to 10 lbs.

Key Responsibilities

  • Provide proactive administrative support to attorneys, paralegals, and colleagues within the Intellectual Property Litigation team.
  • Prepare, revise, and proofread correspondence, memoranda, PowerPoint presentations, and legal documents.
  • Manage billing processes efficiently, including preparing and submitting invoices.
  • Maintain organized electronic and paper files, implementing effective systems where appropriate.
  • Handle incoming and outgoing communications professionally, including client calls and internal correspondence.
  • Manage attorney calendars, scheduling and rescheduling appointments, meetings, and travel arrangements.
  • Prepare expense reports and ensure all timekeeping is completed accurately and on time.
  • Update and maintain contact management systems for client and matter tracking.
  • Perform scanning, photocopying, and other office support tasks.
  • Stay up to date with IP litigation procedures and participate in ongoing professional development.
