About the Opportunity
Our client, a respected law firm, is seeking an experienced Legal Administrative Assistant to support its fast-paced Civil Litigation practice. This role is ideal for a detail-oriented, organized professional with strong knowledge of litigation procedures, court filings, and legal administrative support.
Qualifications & Skills
- High school diploma or equivalent required
- 3+ years of experience as a litigation legal assistant
- Working knowledge of federal and state court filings and e-filing procedures
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Experience with document management, workflow, timekeeping, and billing software
- Strong understanding of legal documents, litigation procedures, discovery, and case management
- Excellent organizational and time management skills, with the ability to prioritize multiple deadlines
- Strong written and verbal communication skills and exceptional attention to detail
- Ability to adapt to changing priorities while maintaining accuracy and productivity
- Demonstrated accountability, initiative, professionalism, and discretion when handling confidential information
- Collaborative, solutions-oriented approach and the ability to work effectively as part of a legal team
Key Job Functions
- Support attorneys throughout the civil litigation process, including case management, discovery, court filings, and trial preparation
- Prepare and coordinate federal and state court filings, including e-filing, with knowledge of applicable court rules and procedures
- Assist with trial preparation by organizing discovery and case documents, preparing exhibits and pleadings binders, and coordinating witnesses
- Apply knowledge of 9A procedures, Rules of Court, and litigation requirements as applicable
- Coordinate service of process, hand deliveries, and other case-related documents
- Manage attorney calendars by scheduling client meetings, conferences, depositions, court dates, and meetings with opposing counsel and experts
- Monitor and respond to emails and assist with travel arrangements as needed
- Support document management by preparing, scanning, uploading, distributing, and electronically and physically filing case documents in accordance with established procedures
- Assist with discovery preparation and maintain accurate case files and records
- Initiate client intake, conduct conflict checks, prepare engagement letters, and open new matters through the firm’s workflow system
- Enter and maintain information in document management, workflow, timekeeping, and billing systems
- Provide additional administrative and case support as needed
