Job Overview
Our client is expanding its litigation support team and seeking an experienced Litigation Administrative Assistant to serve as a key partner to attorneys. Key Qualifications
- 3+ years of litigation administrative experience required
- Experience with State and Federal ECF filings, PACER, and CourtAlert
- Familiarity with Westlaw and State and Federal court rules and filing procedures
- Bachelor’s degree preferred but not required
- Advanced proficiency in Microsoft Word (styles), Outlook, Excel, PowerPoint, and iManage (or comparable document management systems)
- Strong working knowledge of PDF tools (Adobe, Kofax)
- Exceptional customer service skills
- Outstanding attention to detail, organization, and record-keeping abilities
- Excellent written and verbal communication skills
- Demonstrated ability to maintain strict confidentiality
Key Responsibilities
- Serve as a trusted administrative partner to attorneys, supporting litigation practices and client service initiatives
- Proactively assist with calendar management, conflict checks, communications, and administrative workflows
- Monitor and manage attorney calendars and diaries for timekeeping and compliance
- Coordinate reimbursements, reconcile expenses, and submit invoices accurately and efficiently
- Draft, proofread, and format legal documents, correspondence, and reports
- Assist attorneys in preparing for trials, hearings, and depositions
- Manage, organize, file, scan, and index legal documents and case materials
- Maintain and update case files, databases, and records
- Coordinate meetings, appointments, and court appearances
- Communicate professionally with clients, opposing counsel, witnesses, vendors, and court officials
- Support client billing and administrative reporting as needed
- Build strong working relationships with internal teams and external vendors to ensure seamless operations
