A national litigation firm is seeking an experienced Legal Administrative Assistant to provide high-level administrative and litigation support to two busy partners, including a firm leadership partner, and two associates. Required Qualifications & Skills
- High school diploma
- 3+ years of experience as a Litigation Administrative Assistant or in a comparable legal support role
- Experience supporting litigation attorneys in a law firm environment
- Proficiency with Microsoft Office, including Word, Outlook, PowerPoint, and Excel
- Experience with LexisNexis/File & Serve Xpress, Odyssey, PACER, ECF, iManage, or comparable legal document management and court filing systems
- Knowledge of state and federal court rules and procedures, including Massachusetts Superior Court Rule 9A
- Strong written and verbal communication skills
- Excellent organization, attention to detail, and time management skills
- Ability to prioritize multiple assignments and meet deadlines in a high-volume, fast-paced environment
- Demonstrated problem-solving skills and ability to work independently and collaboratively
- Reliable attendance, punctuality, and consistent follow-through
- Professional approach to working with attorneys, clients, colleagues, courts, and external contacts
Key Job Functions
- Provide comprehensive administrative and legal support to assigned attorneys and paralegals
- Prepare, format, proofread, and finalize legal documents, including briefs, pleadings, correspondence, motions, discovery materials, and trial documents
- Prepare documents and materials for litigation, discovery, and trial proceedings
- File documents with state and federal courts using electronic filing systems
- Maintain accurate client files, case records, and electronic documents
- Manage attorney calendars in Microsoft Outlook, including appointments, deadlines, and court dates
- Coordinate business travel, reimbursements, mileage, and related administrative tasks
- Review and update attorney time entries, litigation codes, vendor invoices, check requests, and billing documentation
- Assist with legal billing, including prebill review and coordination with the Billing Coordinator to ensure accurate client invoices
- Submit and track conflict checks and other administrative processes
- Provide professional and responsive client and telephone support
- Assist attorneys and paralegals with trial preparation and other litigation-related projects as needed
