About the Role
Our client, a leader in the legal services industry, is seeking a highly organized and detail-oriented Real Estate Practice Assistant to join their legal support team in Los Angeles. This full-time position supports a team of attorneys specializing in real estate law, particularly commercial real estate transactions, leasing, acquisitions, and loan refinancing.

Qualifications
- High school diploma or GED required; additional certification in legal studies or administrative support a plus.
- 5+ years of experience in a legal administrative assistant role, with a strong focus on real estate law.
- Familiarity with document management, billing systems, client intake systems, and e-filing platforms.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint); typing speed of 60+ WPM.
- Ability to communicate effectively with professionalism, discretion, and sound judgment.
- Proven ability to manage multiple priorities, meet tight deadlines, and maintain organizational excellence.
- Strong client service orientation, dependability, and a proactive attitude.
Key Responsibilities
- Create and edit complex legal documents, including memos, contracts, spreadsheets, and presentations. Ensure all documents are accurate, formatted correctly, and delivered on time.
- Support commercial real estate transactions, including leasing, loan documentation, refinancing, and property acquisitions.
- Generate and organize closing binders using customary and Closing Disclosure (CD) programs.
- Coordinate with attorneys on due diligence efforts, document tracking, and required lender documents for closings.
- Review and process legal billing, ensuring accuracy and timely transmittals to clients.
- Maintain and organize digital and physical client files using document management systems.
- Monitor and manage incoming mail and communications, drafting responses or coordinating attorney action as needed.
- Submit attorney expense reports and reconcile documentation.
- Manage attorney calendars, schedule in-person and virtual meetings, and coordinate logistics (venues, catering, marketing materials, travel, and tech setup).
- Oversee inbound/outbound calls and emails, take accurate messages, and maintain clear communication with internal and external stakeholders.
- Update and maintain contact databases and CRM systems for client outreach and marketing efforts.
- Process client matter intake forms and assist with client onboarding.
Support general administrative functions, including scanning, copying, time entry, CLE tracking, and document e-signature management.
