About the Role
Our client, a leader in the legal industry, is seeking a detail-oriented Temporary Records Specialist to join its Central Files Department. In this role, you will play a critical part in maintaining records databases, overseeing document storage, and ensuring the smooth operation of all records management functions.
Required Skills & Qualifications
- Self-motivated with a strong sense of ownership and initiative
- Ability to communicate effectively
- Ability to work effectively at all organizational levels
- Proficiency in Microsoft Office, especially Excel, and experience using software for workflow optimization
- Experience with Electronic Records Systems (preferred)
- Knowledge of Aderant RMS (preferred)
- Legal industry experience highly desirable
- Strong organizational skills and keen attention to detail
- Ability to lift up to 40 lbs and manage offsite storage needs
- Skilled at multitasking and prioritizing workflow in a fast-paced environment
- Works well both independently and as part of a team
Key Responsibilities
- Maintain and update records management databases with accuracy and efficiency
- Oversee and maintain company archives
- Perform database cleanup initiatives and identify areas for process improvement
- Retrieve, index, and present data from records software upon request
- Communicate with attorneys, paralegals, and legal administrative staff regarding case files
- Coordinate with vendors to retrieve case files from offsite storage facilities
- Answer records-related queries regarding location and status of files
- Index and track estate planning documents from drafting to implementation
- Maintain confidentiality and security of all records
- Ensure records areas remain clean, organized, and well-stocked
- Assist with inventory management for supplies and materials
- Perform additional administrative and records tasks as needed under the direction of the Records Manager
