Location: South Boston, MA 
Hourly Pay Range: $24-$26
Schedule: Full-time, 37.5-hour work week | Monday-Friday
Required: 5+ years of administrative experience, preferably supporting senior leaders or multiple departments within a complex organization

About the Opportunity

A mission-driven human services organization is seeking an experienced T-DH Administrative Assistant to provide high-level administrative and operational support to senior leadership and multiple departments, including Human Resources, Finance, and the Chief of Staff team.

Qualifications & Skills

  • Associate or bachelor’s degree preferred; equivalent education and relevant experience may be considered
  • 5+ years of administrative experience, preferably supporting senior leaders or multiple departments within a complex organization
  • Strong organizational and time management skills, with exceptional attention to detail and the ability to manage multiple priorities and deadlines
  • Excellent written, verbal, and interpersonal communication skills
  • Demonstrated discretion and sound judgment when handling confidential employee, financial, and organizational information
  • Ability to work independently, take initiative, anticipate needs, and make decisions within the scope of the role
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Experience with HRIS, ERP systems, and other business technology platforms preferred
  • Valid driver’s license and reliable transportation for occasional local travel

Key Job Functions

Executive & Administrative Support

  • Provide administrative support to senior leadership and designated departments
  • Meet regularly with the Chief of Staff to review, prioritize, and coordinate daily tasks and projects
  • Manage calendars, meetings, and scheduling, including room reservations, catering, audiovisual needs, materials, and communications
  • Prepare meeting notes, presentations, slide decks, briefing materials, and other documents
  • Perform general office administration, including filing, photocopying, supply ordering, and inventory management
  • Submit department invoices for processing and prepare financial reports from the organization’s ERP system
  • Assist with updating and communicating organizational policies and procedures

Human Resources Support

  • Support HR administration and recruitment activities, including posting positions and coordinating candidate interviews
  • Assist with pre-employment screening, background checks, and required employment documentation
  • Coordinate new hire onboarding, including welcome communications, paperwork, orientation materials, and employee files
  • Support the employee offboarding and exit interview process, including required separation documentation
  • Maintain accurate and confidential personnel files and HR records
  • Respond to routine employee questions and direct sensitive or complex matters to the appropriate HR team member
  • Prepare employment verification letters and routine HR correspondence
  • Communicate with external agencies as directed

Finance & Operations Support

  • Assist with annual financial audits, compliance audits, and tax-related documentation
  • Support administration of the organizational corporate credit card program
  • Coordinate contract execution and routing for funding agencies, vendors, consultants, and other partners
  • Maintain organized electronic financial records in accordance with organizational and regulatory requirements
  • Maintain accurate gift card records and coordinate distribution information with internal teams
