About the Opportunity
A top MA law firm is seeking a Temporary Legal Assistant to support attorneys and legal teams through high-impact administrative and document management functions in its Trust & Estates or Litigation practice groups. This role is ideal for someone who thrives in a fast-paced, deadline-driven environment and enjoys being the operational backbone of a collaborative legal team.
Key Qualifications
- Prior legal administrative experience
- Strong proficiency with Microsoft Office, Outlook calendars, and virtual meeting platforms
- Exceptional organizational skills and attention to detail
- Ability to manage sensitive information with discretion
- Strong written and verbal communication skills
- Proven ability to prioritize tasks in a deadline-driven environment
Essential Functions
Document Preparation & Management
- Prioritize and manage multiple assignments while meeting strict deadlines
- Coordinate document preparation, printing, copying, scanning, and electronic filing
- Ensure accuracy and consistency across all legal documents
Records & File Maintenance
- Maintain electronic client records in compliance with firm policies
- Partner with Records personnel to create, organize, and index client files
- Perform routine electronic and paper filing, retrieval, and audits as needed
Calendar & Scheduling Support
- Assist with coordinating attorney calendars, court dates, meetings, and event registrations
- Support travel arrangements, expense reports, and scheduling logistics
Mail & Communications Processing
- Prepare and process incoming and outgoing mail, email, and faxes
- Arrange specialized mail or messenger services when required
- Verify that all attachments, exhibits, and enclosures are complete and accurate
Administrative & Client Support
- Assist with the new client and matter intake process
- Schedule meetings and reserve conference rooms
- Communicate professionally with clients, attorneys, and internal teams
- Proactively anticipate attorney needs, plan ahead, and consistently meet deadlines
Team Collaboration
- Serve as backup support for other legal groups as needed
- Work cooperatively across departments to support firm-wide initiatives
- Perform additional administrative duties as assigned
