About the Opportunity
A growing law firm is seeking an experienced Office Manager to oversee daily operations, support financial management, and help drive continued organizational growth. This role is ideal for a highly organized, proactive professional with strong experience in office administration, bookkeeping, payroll, and HR who thrives in a collaborative, team-oriented environment.
The Office Manager will play a critical role in ensuring smooth day-to-day operations while supporting employees, firm leadership, and long-term business objectives.
Required Qualifications
- Previous Office Manager experience, preferably within a law firm or professional services environment
- Strong background in bookkeeping, financial reporting, and payroll processing
- Experience with QuickBooks, Intuit, AP/AR reporting, and financial reconciliations
- Familiarity with IOLTA accounts
- Experience with CLIO, Microsoft Outlook, and Excel
- Knowledge of HR administration and Massachusetts employment laws
- Strong communication, organizational, and multitasking skills
- Ability to work independently while managing multiple operational priorities
- Proven ability to provide financial oversight, forecasting, and operational support to leadership
Responsibilities
- Oversee day-to-day law office operations and administrative workflows
- Support and supervise office personnel while helping improve efficiency and productivity
- Coordinate employee meetings, internal communications, performance reviews, and office initiatives
- Manage office vendors, systems, technology platforms, and operational procedures
- Assist leadership with special projects and operational planning
- Coordinate office events, seminars, luncheons, and community activities
- Provide backup phone coverage and support daily administrative functions
- Manage bookkeeping and financial recordkeeping activities
- Process and audit payroll using QuickBooks and Intuit
- Run and evaluate accounts payable/accounts receivable (AP/AR) reports
- Reconcile accounts and maintain accurate financial records
- Prepare and deliver consistent financial statements and forecasting reports to ownership
- Maintain familiarity with IOLTA accounts
- Assist with budgeting for both law office operations and real estate/building management
- Support onboarding, hiring, training, and employee development initiatives
- Assist with general HR administration and maintain familiarity with Massachusetts employment laws
- Monitor insurance policies and compliance-related procedures for both office and property operations
