Location: Andover, MA | On-site 5 days/week
Salary Range: $65K-$85K | Bonus Eligible
Schedule: Full-time | Monday-Friday, 8:30-5:30 | Exempt
Required: Bachelor’s degree and 3+ years of relevant administrative experience

About the Opportunity

A leading financial services organization is seeking a proactive and highly organized Administrative Assistant to support a team of 7–9 senior-level professionals. This role is ideal for an outgoing, detail-oriented professional with experience managing multiple calendars, coordinating business travel, and anticipating the needs of senior leadership.

The successful candidate will bring a roll-up-your-sleeves attitude, strong communication skills, and the confidence to interact professionally with clients and colleagues at all levels.

Qualifications & Skills

  • Bachelor’s degree required; candidates with an associate degree and relevant experience may also be considered
  • 3+ years of relevant administrative experience, preferably supporting senior-level professionals
  • Demonstrated experience supporting multiple individuals simultaneously and managing multiple calendars
  • Previous experience coordinating business travel arrangements
  • Strong organizational, time management, and multitasking skills
  • Excellent written and verbal communication and problem-solving abilities
  • Proactive approach with the ability to anticipate needs, take initiative, and exercise sound judgment
  • Strong attention to detail, accuracy, and follow-through
  • Comfortable interacting professionally with clients and senior leadership
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
  • Flexible, collaborative, and willing to take a hands-on approach to administrative support

Key Responsibilities

  • Manage multiple executive calendars, including scheduling appointments and coordinating competing priorities
  • Coordinate business travel arrangements for partners and other senior professionals
  • Provide administrative support to 7–9 team members, anticipating needs and ensuring efficient day-to-day operations
  • Answer and direct phone calls, relay information promptly, and handle sensitive matters with confidentiality and discretion
  • Assist with planning and coordinating company meetings, events, and celebrations
  • Provide occasional after-hours support for travel, scheduling, and other administrative needs
  • Prepare and maintain accurate expense reports
  • Provide general administrative and office support, including ordering supplies and coordinating weekly lunches and meeting catering
  • Communicate professionally with clients, colleagues, and external contacts
